Information we collect
We collect:
- Information you give us — when you create an Academy account (name, email, password, which is stored only as a secure hash), submit the contact, volunteer or corporate forms (name, email, phone, organisation, country, message), or subscribe to our newsletter (email).
- Learning data — your enrolments, lesson progress, quiz scores and diplomas in the Academy.
- Information collected automatically — your IP address, device and browser type, pages viewed and interactions, collected through cookies and the analytics tools below (see our Cookie Policy).
Analytics and measurement tools
To understand and improve the site we use:
- Google Analytics (Google) — aggregated statistics about visits and usage. Privacy: policies.google.com/privacy.
- Google Search Console (Google) — aggregated data on how the site appears in Google Search; it does not set cookies on the site.
- Microsoft Clarity (Microsoft) — heatmaps and anonymised session recordings of page interactions to see what is confusing or broken. Clarity masks text you type by default. Privacy: privacy.microsoft.com.
These providers process data on our behalf and may combine it with their own data as described in their policies.
How we use your information
- Create and manage your Academy account, track progress and issue diplomas.
- Respond to enquiries and process volunteer and partnership requests.
- Send the newsletter and account emails (e.g. email confirmation) where relevant.
- Measure, secure and improve the website.
- Comply with our legal obligations.
Legal bases for processing
We process data on the basis of your consent (e.g. analytics cookies and the newsletter), our legitimate interests (running and improving the organisation and securing the site), and to take steps at your request before or during an arrangement (e.g. an account, volunteering or partnership). You can withdraw consent at any time.
Sharing your information
We do not sell your personal data. We share it only with:
- Service providers that help us operate — Google and Microsoft (analytics), our email/SMTP provider (Mailrelay), and our hosting.
- Donation platforms (GlobalGiving, PayPal) when you choose to give, under their own policies.
- Authorities where required by law.
International data transfers
Some providers (such as Google, Microsoft and Mailrelay) may process data outside Uganda. Where they do, they rely on recognised safeguards for international transfers.
How long we keep your data
We keep personal data only as long as necessary for the purposes above or as required by law — for example, account and learning records for as long as your account is active, and form submissions for a reasonable period to handle your request.
Your rights
- Access the data we hold about you.
- Ask us to correct or delete it.
- Object to or restrict certain processing, and withdraw consent.
- Ask for a copy of data you provided.

Children and young people
Our Academy is designed for young people (ages 12–18) and may be used in supervised settings. Many third-party AI and online tools require users to be at least 13, and under-18s to have parental permission. Younger learners should be supervised by a parent, teacher or guardian, and we encourage parental consent before creating an account. Contact us to review or remove a child's data.
Security
We protect your data with measures such as hashed passwords, access controls and secure connections. No method of transmission is completely secure, but we work to protect your information.

We may update this policy from time to time and will revise the "last updated" date above.
